Unpaid Invoices: Build the Record Before Demanding Payment

An invoice states an amount; it does not by itself establish every element of a payment claim. Connect the amount to the agreement, performance and payment history.

Reconcile the account

List invoice dates, due dates, credits, partial payments and disputed items. Identify the contract term that supports each charge. Separate principal from interest, late charges or fees that may require a specific legal or contractual basis.

Document the work

Collect delivery records, approvals, time records, photographs and acceptance communications. If the customer raised a problem, preserve the complaint and your response. Ignoring the disputed performance issue rarely makes a demand more persuasive.

Choose a proportionate next step

A concise demand can identify the supported balance and proposed resolution. Counsel can evaluate deadlines, forum, defenses and collectability before suit. Avoid threats you cannot lawfully or realistically carry out, and do not assume negotiations suspend a filing deadline.
