Scope Changes: Document the New Work Before the Dispute
A project can become a different bargain one small request at a time. A clear change process helps connect new work to price, timing and approval.
Compare the request to the original scope
Identify the promised deliverable and whether the new request changes quantity, quality, sequence or timing. Keep the original specifications available. A disagreement often arises because each party uses a different baseline.
Record authority and consequences
A change record should identify who approved it, the revised work, added cost and schedule effect. Follow any notice or written-change requirements in the contract. Do not assume every employee or project contact can bind the customer to a new obligation.
Keep performance evidence
Save approvals, progress records, invoices and communications about acceptance. If disagreement develops, avoid rewriting the history or backdating a document. Counsel can evaluate whether an enforceable modification occurred and what the evidence supports.
At a glance
| Change element | Record it clearly |
|---|---|
| Work | Added, removed or revised deliverable |
| Commercial effect | Price, deadline and acceptance changes |
A client requests additional rooms in a renovation but the contractor sends only a final increased invoice. A contemporaneous change order would have clarified approval and price. The later dispute may require reconstructing conversations and conduct.
What to gather before a consultation
- Original scope and specifications
- Dated approvals
- Cost and timing explanation
One more question
Is an email enough for a change?
It may be relevant, but effectiveness depends on the contract, authority, wording and applicable law.
